How to Go From Mailing List to Address Labels

Mail merge in minutes using Avery® Wizard software and Microsoft® Excel®. Create your own address labels, saving you time in the office. We'll show you how to go from mailing list to address labels in just minutes with these simple step-by-step instructions.

Step 1: Your Database

If your address book consists of handwritten names and addresses, and you want them all together to save typing them each time, then you’ve come to the right place. By creating a single, consolidated mailing list, you will save time in the long run. Instead of hand addressing envelopes year after year, all you have to do is enter the names and addresses once in your database program. Try using Microsoft Excel or Microsoft Outlook®.

Step 2: Get Started

Click Next to start your project.

Step 3: Open Your Database

Open up your Microsoft Excel document which contains your list of names and addresses which you wish to mail merge. Highlight the all columns and rows which you wish to mail merge, and the header row (which contains the field names). Then click on the Avery icon in the toolbar.

Step 4: Select Your Avery Product

Enter the product number or description of your address labels, then click on the Search button. Choose your product from the list, then click Next.

Step 5: Design Your Label - Text and Images

On the right hand side is a list of fields, which match the header row of the Excel document. Decide what information you wish to go onto your labels and select by clicking on the Add Field to Layout button. Click once for each field.

Customise and format your labels using the toolbar. If you wish to add a logo or image to your labels use the insert clip art icon. When you are happy with your design, click Next.

Step 6: Get Ready to Print

If you are using Avery QuickPEEL™ Addressing Labels then you can choose to fill the address sheets down or across with the information from your database. Select Print Preview to check your work. If you are happy, click Close Print Preview and you will be returned to the Wizard.

Step 7: Finish

After you have previewed your project and made any changes, click on the Finish button. Please note, once you select Finish you will not be able to go back and edit your project within the Avery Wizard. You will however be able to make changes to each label within the Microsoft Word document. Your Avery labels are now ready to be printed!
